Document Control Specialist – Permanent Full Time – Perth CBD

Your Role in Action
- Develop and maintain the governance framework and associated processes and work instructions that provide suitable governance over the Document Management system
- Work closely with stakeholders to ensure successful digital information delivery of infrastructure projects.
- Track and report on project drawing package status, workflow, and blockages.
- Build and maintain relationships with ICT and the information management software vendor to ensure access and searching performance issues are identified, escalated, and resolved in a timely manner.
- Manages the Information Management Systems, folder structure, projects, and administration of user groups. Support continuous improvement of the system through the provision of expert advice and user acceptance testing.
- Ensure compliance with information management and retention legislative obligations on behalf of the function, ensuring effective controls are documented within function compliance plan as required. Preserve the confidentiality of Western Power records where appropriate
- Provide technical expertise in relation to document control, based on specifications from the business, and ensure appropriate linkages to existing information management systems and processes including Western Power security standards and Cyber Security considerations.
- Provide inductions, update communications, awareness sessions, coaching and training for both internal and external stakeholders on document management governance and the general document management systems ().
- Liaise with External Supplier document controllers (and other stakeholders) to ensure the integrity of information ensuring consistent principles are applied with information classification and identification.
- Maintain the Document Control filing system and ensure access and security measures are aligned with Western Power’s Information Management Standard and ensure any records produced within the Function, are appropriately retained in accordance with documented procedures, and in a timely manner.
- Support the administration of contracts and agreements for the Clean Energy Link program in line with Western Power’s Contract Lifecycle Management Framework.
- Support function management in the development and provision of function level reporting.
What Makes You a Great Fit
- Tertiary qualifications in a Business Administration or Information Management related discipline and / or extensive and demonstrated practical expertise knowledge and industry experience.
- Certificate III (or equivalent) in Document Control.
- Demonstrated technical experience in document control and management practices, including governance frameworks and relevant ISO directives.
- Experience with contract administration and with vendor audits.
- Familiarity with Project Management Operating Procedures.
- Knowledge of and ability to work with Adobe Acrobat, Microsoft Office and SharePoint, Windows OS, specialist CAD storage (ProjectWise) and digital workflows.
- High level communication skills, both verbal and written with a detailed-oriented and meticulous work ethic.
- Ability to operate and provide direction in a dynamic work environment undergoing digital transformation.
- Well-developed interpersonal skills and the ability to positively influence internal and external stakeholders and to provide professional lead to employees.
