Project Coordinator

We’re looking for a proactive Project Coordinator to support coordination and delivery of projects or programs delivery outcomes through the early lifecycle phases, with a focus on ensuring initiatives are appropriately planned, governed and ready for execution. The role provides coordination, documentation, reporting and compliance support to enable informed decision-making, adherence to organisational frameworks, and successful progression through formal approval and delivery states.
Your Role in Action
- Supports the delivery of projects to the agreed scope, time, and cost without compromising quality, while performing detailed project analysis to support these outcomes.
- Accurately identify stakeholders’ needs, respond with empathy, and demonstrate effective interpersonal skills and integrity.
- Assist in supporting the scheduling, budgeting, estimation, scoping and resourcing of projects through the approvals process in accordance with Western Power’s project methodology, standards, processes, and compliance framework.\
- Ensure that all project and program documentation is prepared to an appropriate standard, quality reviewed, version controlled, and maintained in accordance with organisational document management, record-keeping and audit requirements.
- Prepare and maintain project / program reporting (e.g. Status Reports, KPIs, monthly and quarterly reports) using enterprise systems, tools, and templates. Ensure all agreed reports and deliverables are on time and written to a high standard
- Support project reconciliation, gate progression and close-out activities, ensuring required stage and gate deliverables are completed accurately and in accordance with approved checklists, financials are reconciled, documentation is finalised and archived, and lessons learned are captured to support continuous improvement.
- Ensure service providers are delivering to milestones as contractually agreed
- Manage, continuously improve, and innovate project / program administrative systems, and provide advice on process and methodology issues.
- Work with, and report on project and program managers to ensure data is accurate and complete in the project management tool suite.
- Assist in the detail of ensuring projects and programs adopt changes to the delivery methodology.
What Makes You a Great Fit
- A qualification in project management, business systems or a relevant discipline. For example, ICT, Building Services Engineering, Construction Management or Architecture for Real Estate Projects) / HR and / or extensive and demonstrated practical expertise knowledge and industry experience.
- Demonstrable capability and experience in program and / or project planning, integration, and communication in a utility industry or similar, with strong attention to detail.
- Sound communication skills, both verbal and written.
- Experience in stakeholder engagement and building rapport and gaining consensus.
- Demonstrable capability and experience in the relevant project management discipline or area with applied knowledge in either of the following disciplines: estimating, civil, structural, building services engineering, architecture, human resources etc.
- Demonstrated experience in a project office or project management environment in a relevant project management discipline or area with strong experience in planning and scheduling, project reporting, document control and business analysis.
- Proficient with the Microsoft Office suite of software, project management systems and other organisational systems as required.
