Document Control Specialist

We have an exciting opportunity for a permanent, full-time Document Control Specialist to join our team in Perth CBD.

 

The key purpose of this position is to apply a thorough understanding of project documentation control and records management to develop and maintain document controls and compliance guidelines for the Transmissions Portfolio Office in the Energy Transformation and Sustainability Function. The role provides technical guidance and expertise to internal and external stakeholders to drive better business outcomes, supports functional level reporting for decision-making, and provides contract administration services to support the time, quality, and cost objectives of the contract management lifecycle.

 

Your Role in Action

 

  • Develop and maintain the governance framework and associated processes and work instructions that provide suitable governance over the Document Management system.
  • Maintain Engineering & Design’s Controlled Document Register ensuring documents are in date and all mandatory metadata is maintained.
  • Work closely with ICT, Engineering, Drafters and Design Leads to ensure successful digital engineering information delivery of infrastructure projects.
  • Track and report on project drawing package status, workflow, and blockages.
  • Manages the Engineering Information Management Systems (CAD storage and workflow), folder structure, projects, and administration of user groups. Support continuous improvement of the system through the provision of expert advice and user acceptance testing.
  • Provide technical expertise in relation to document control, based on specifications from the business and processes including Western Power security standards and Cyber Security considerations.
  • Provide inductions, update communications, awareness sessions, coaching and training for both internal and external stakeholders on document management governance, the use of Engineering Information Management Systems (CAD Storage and Workflow) as well as the general document management systems (EDM).

 

 

What Makes You a Great Fit 

 

  • Tertiary qualifications in a Business Administration or Information Management related discipline and / or extensive and demonstrated practical expertise knowledge and industry experience.
  • Certificate III (or equivalent) in Document Control.
  • A minimum of 5+ years sound and demonstrated technical experience in document control and management practices, preferability within Engineering, including governance frameworks and relevant ISO directives
  • Experience working in and supporting an engineering and design team to create a collaborative environment.
  • Experience with contract administration and with vendor audits.
  • Knowledge of and ability to work with Adobe Acrobat, Microsoft Office and SharePoint, Windows OS, specialist CAD storage (ProjectWise) and digital workflows.
  • Customer focus with the ability to define and display the WP values.
  • Well-developed interpersonal skills and the ability to positively influence internal and external stakeholders and to provide professional lead to employees.
