Project & Administrative Coordinator

Project Administrator – 8-month Maximum Term – Perth CBD, 363 Office 

 

This position is responsible for providing effective and efficient support services to facilitate the successful delivery of the Approved Works Program (AWP) and other project-related administrative work. The role involves managing work order processes, reporting, and stakeholder coordination to ensure timely and accurate execution of operational tasks.

 

Your Role in Action 

 

  • Coordinate and process Transmission QT forms and requests, ensuring accurate data entry, system updates, documentation, and equipment validation.
  • Navigate multiple systems including Outlook, The Volt, Ellipse, and Excel to execute daily responsibilities efficiently.
  • Maintain clear and accurate documentation of all requests and actions, supporting transparency and traceability.
  • Create, manage, individual and bulk work orders using Ellipse and associated templates, assigning to the appropriate work groups.
  • Liaise with internal stakeholders to action work order requests, including modifications and cancellations, and providing timely update and references.
  • Bulk creation of MI and MST work orders using Ellipse connectors.
  • Generate and distribute monthly reports to support operational visibility and performance tracking.
  • Proactively manage activities, schedule key actions, and follow up to meet critical deadlines.
  • Build strong internal networks that enhance team efficiency and cross-functional collaboration. 

 

What Makes You a Great Fit

 

  • Completed Year 12 (or equivalent) with English and Mathematics and / or at least 2 to 3 year’s demonstrated general administration experience
  • At least 2 to 3 years demonstrable, effective administrative, organisational, prioritising, planning, and coordinating skills.
  • A strong proven personal effectiveness with business acumen.
  • Strong verbal and written communication skills, including report writing and formatting to a high level.
  • Computer literate: MS Office suite - Word, Excel and Outlook.
  • Excellent interpersonal, relationship building and teamwork skills.
  • Demonstrable problem-solving skills and ability to act on own initiative.
