Contract Assistant – Permanent Full Time - SMD Forrestdale
We are seeking a Contract Assistant to facilitate the effective administration of contracts, ensuring alignment with business objectives, commercial standards, and stakeholder expectations. This role involves preparing contractual correspondence for contractors and suppliers across local, interstate, and international markets while maintaining compliance with timelines, quality, and scope. By supporting efficient contract management processes, you will contribute to seamless project execution and client satisfaction. Scheduling
- Scheduling and planning your own daily and weekly allocated work;
- Prioritise work to ensure individual and team goals and target are met;
- Provide support to Operational Services in relation to contract support activities;
- Coordinate and support contractual administration requirements for contract and technical based work within the team;
- Be accountable for ensuring maximum alignment between the teams high level objectives and your work;
- Advise on the best use of resources to meet planned outputs;
- Organise, attend and minute meetings as required; and
- Organise staff training and management of associated records.
Technical
- Manage contract management filing systems and be able to manage the contracts document retention system;
- Apply and maintain effective document control processes;
- Familiarisation with complex drawings of a technical nature;
- Coordinate and manage the contract and specification database to meet audit requirements;
- Prepare contractual correspondence to contractors and suppliers (local, interstate and overseas) for related projects;
- Have a working knowledge of the role of Superintendent, Superintendent Representative and Principal in the context of the Australian Standards and be proficient in providing technical support to them;
- Have a working knowledge of the general structure and requirements of the AS4000 series of contract conditions;
- Identifying opportunities for significant and step change improvements in all aspects of the required work;
- Manage and maintain all commercial and administrative contract records for related projects within a team;
- Administer the component of the process in respect of setting up new contracts and when necessary manage contract payments;
- Administer the process to monitor and as necessary issue contract extensions, identify contracts for renewal;
- Have a working knowledge of Contract Management Systems;
- Compile and manage monthly performance reporting;
- Complying with legal and contracting requirements;
- Perform general administrative duties as required; and
- Support the team peers in respect to developing Contract documentation
What Makes You a Great Fit
- Completion of year 12 with English & Mathematics
- At least 4+ years’ experience in the commercial contract management and administration field
- Must have a working knowledge of the general structure and requirements of the AS4000 series of contract conditions
- Financial management systems and contract payments including contract variations
- Contemporary filing systems and document management with emphasis on security and retention of contract documentation
- Maintaining a database and have the skills to produce reports as required
- High level of understanding, experience and accuracy in document preparation
- Excellent stakeholders contact skills
- Effective work management skills with the ability to implement corrective and proactive measures as required to ensure required service levels are met
- Proficiency in MS Office applications Word, Excel and Access. ERP and/or scheduling/work management systems
- Understanding and use of Project Management systems and tools
- Must be able to apply and maintain effective document control processes
